Please set up a Family DUID for this purpose for ongoing use- some parishes have one set up under the parish name, or Anonymous, Loose Cash, Cash, or Unspecified. We prefer you use Unknown Donor for consistency, and so we can easily delete them from mailings.
Also, please flag this account as “Do Not Mail” so it will automatically be deleted from mailings (when we extract the mailing list from ParishSoft, we exclude all flagged “Do Not Mail”).
Each parish should update their pastor’s record in ParishSoft. When you get a new pastor, import his existing record (Family DUID) as Registered and Active at your parish (please see “How to Import a Record”). Please do not create a new DUID, as this creates duplicates for the mailings. If there is no existing DUID, create a new one, and please use Rev. (not Father or Fr.) for the mailing name field. This helps when we sort for the mailings so we can make sure we don’t miss any pastors (you may use Fr. In the informal Salutation field, ie, Fr. Mike, just not in the mailing name field). If a pastor retires, please enter his new address, and ask if he wants to remain as an active parishioner, and whether he wants to receive mailings.
If a parishioner does not want to get any mail, please uncheck the “Send Mail” box under Family Details, in the bottom right corner. First, click on the green “Edit Details” button, then uncheck the Send Mail box.
If they only want to receive mail without solicitations (they do not want to be asked for a donation, but would still like to receive other mailings, such as Bishop’s Easter or Christmas greeting), then email Claire Klinedinst with their name and Family DUID, and ask her to flag them as “Do Not Solicit”.
Q: How do I keep my parishioner records updated? (address)
Keeping your parishioner mailing information updated is a challenge, as often parishioners do not let you know when they have moved or changed parishes. I asked a Parish Admin to share with us how she keeps hers updated- here is how she identifies parishioners who need to be updated in ParishSoft.
You should receive an Address Correction Report from OSV several times a month, which has address corrections (OSV sends out envelopes to parishioners, so they are regularly updating addresses), which looks like this:
