Reminders for Group Leaders:
At Departure Site
- Direct all pilgrims to pick up materials first, so pilgrims can put WYD Gear in luggage.
- If pilgrims are leaving a vehicle, please direct/announce where the location is at the departure site- make announcement before departure.
- When pilgrims arrive at departure check-in, verify:
- Pilgrims have their passports on them. Passport must not expire before Feb. 8, 2024.
- All minors have the original copy of the Notary signed consent to travel as a minor
- Attendance: If a pilgrim doesn’t show up 1 hour before bus departure, delegate contacting the Pilgrim to a Chaperone/YAPP and notify the Diocesan Staff on site.
- Chaperones should ensure they have physical copies of medical information for their pilgrims and contact information for their parents (necessary for CC’ing parents on group email / text messages). If any information needs updated, chaperones should do that on their small group contact sheets.
- Colors, name tag stickers, ribbons for each bus; matched with colors on flag poles- Make sure everyone has the correct subgroup color sticker and luggage ribbon for each Portugal bus (1- Green, 2- Pink, 3-Yellow, 4-Orange, 5-Red, and 6-Blue) Please note that Bus 4-Orange will be split between USA Bus B and USA Bus E).
- Youth pilgrims bringing medication must place medications in Ziploc bags with medication form. Chaperones should keep custody of medications and note down when medications have been given. (inhalors and epipens should be carried by youth themselves).
- Chaperones should ensure that their youth have taken any necessary medications for that morning and record them on the medication forms.

- A “Master Sheet” with contact / group information for all our pilgrims (3 copies on bus total)

On the bus heading to Chicago
- Once we are on the road, ask a priest to lead bus in prayer.
- Bus Captain will introduce him/herself, Staff person, Priests, Chaperones and YA PP on the bus
- Invite pilgrims to scan the QR code appropriate to them to get connected on WhatsApp
- WhatsApp Groups, Use phones, download app, use printed QR Codes to pass out to pilgrims, have pilgrims add themselves to respective Whatsapp Groups
- Have pilgrims read WYD Pilgrimage Policies (QR Code).
- Have everyone download iBreviary – find someone to explain how to use it, pray midday prayer; download all 10 days so pilgrims won’t need data for future use on the pilgrimage.

- Carry on liquid limits
- You can bring a quart-sized bag of liquids, aerosols, gels, creams and pastes in your carry-on bag and through the checkpoint.
- Each container must be 3.4 ounces or less (100 milliliters or less).
- Only one bag per person is allowed.
- TSA Screening Procedure: Unless a passenger has TSA Pre-check, when at security, a passenger must take off any jacket, shoes, belt, and remove their computer, liquids from their baggage (like toothpaste, etc) and place them in a bucket to be screened. Pockets should be emptied into the bucket before going through the screening machine.
- When international, those without an international phone plan should be sure to disable their cellular data. Wifi in Portugal (at our hotels for example) should be usable without an international phone plan.
- Explain bus arrival at the airport is going to go:
- Have Bus captain / Diocesan staff check in with airline ticket counter to confirm check-in and boarding pass printing procedure. Once the location is confirmed, announce/guide the group to the designated ticket counter area / airline. STAY IN SMALL GROUPS. All pilgrims follow the directions of small group leaders.
- After that, everyone will head through TSA, then go to the departure gate first. If time permits, pilgrims can get food, but must be at the gate no later than 35 minutes prior to departure.
- Explain sleeping on flight, go to sleep when the flight turns down the lights. The flight will offer one meal this afternoon and a snack in the morning. Make sure you eat.
- Remind pilgrims that they must never leave their bags unattended in the airport. You / your small group must be with your bags at all times.
